Summary/purpose of the position:

The Administrative Assistant to the Directors is a member of the support team, led by the Executive Assistant, that works closely with the Senior Management Team and the Executive Assistant. The Administrative Assistant to the Directors supports the priorities and focuses of the directors in order to maximize their effectiveness in providing strategic leadership to the organization.

Responsibilities:

1. Deliver tasks such as the implementation of projects, organizing meetings, activities, maintaining communications with internal and external stakeholders, working on and with various organizational systems and platforms.
2. Managing all matters relating to organizing agenda and obligations according to good business practice.
3. Assist the Director to ensure that her/his subordinates carry out their tasks in a timely and efficient manner.
4. Coordinate and assist with all aspects of meetings (including skillshares and training) as directed by the Director and the Executive Assistant to the Directors within budgetary constraints, to enable efficient and effective meetings to take place.
5. Support the Director and the Executive Assistant to the Directors with approvals, enquiries and various logistical needs.
6. Coordinate briefing notes, background papers and /or internal and external reports, taking meeting minutes and managing documentations as directly by the Director and Executive Assistant to the Directors
7. Help with the development and/or implementation of internal systems.

Requirements

Requirements:
1. Professional, in particular, a minimum of 2 years experience with providing support at a senior level.
2. Responsible and responsive
3. Fluent written and spoken English
4. Written and verbal communication skills
5. 1-2 years of experience providing administrative support
6. Event management experience
7. Ability to pick up new systems
8. Conversational Japanese or Korean preferable

This is a 3 years contract subject to renewal. Interested parties, when applying .
